Activating User Accounts

For the user to gain access to Coursy Training Management System (TMS) or Employee portal, their accounts need to be activated.

Under Manage > Permissions > Manage users rights you find two tabs: TMS users tab and Employee Portal users tab. The Employee Portal users list contains users who have been given the Employee role. Users who have been given Trainer or any custom-made role or company manage privilege, will also be displayed in TMS users list.

The main purpose of these two lists is for sending out user account activation e-mails. When you send account activation e-mails from TMS users tab, you are giving them access to Coursy TMS (admin environment). Sending activation e-mails from Employee Portal users tab gives users access to the Employee Portal.

E-mail contains personalized link for setting a password. Once the user has set a password, entered the environment and accepted the terms of use, the account is activated.

From this view, it is also possible to send a password reset e-mail to TMS users as a bulk action.

By clicking on the column name in the users list header, the entries are listed in alphabetical order. To find a specific employee you can filter users by (partial) name. PS: You can find more filtering options for sending the Employee Portal account activation e-mail in the Employees menu item.

Activation emails can also be sent to multiple users at once. By checking the check box in the users list header you can select all users with active status listed on this page.

Before activating the Employee Portal accounts, create courses and add employees to the occurrences, otherwise the Portal will look quite empty for the user.

In short: sending account activation e-mails

Menu item: Manage > Permissions > Manage users rights

  1. Open the TMS users or Employee Portal users tab
  2. Check the check boxes next to the users you want to send the account activation emails to
  3. Scroll down to the Bulk actions and select Send account activation e-mail
  4. Click OK
  5. Click Yes to send activation e-mails
